Organizations are the entities, like companies, educational or non-profit organizations, etc. An organization panel contains all the information associated with it: its overview, contacts list, activity history, workflows, tasks, etc.

Organizations can contain multiple contacts or no contacts at all.

You can create tasks for organizations, add internal notes, launch workflows for all contacts in a selected organization, and much more.

Create an organization

There are a few ways you can create an organization in Overloop:

  1. Create an organization manually.

  2. Import a CSV file with your organizations.

  3. Create organizations using our API.

Create an organization manually

Click on the + button > New Organization and manually enter the information. We recommend you be as thorough as possible since all that data can be useful in setting up workflows.


Add contacts to an organization

Organizations can be seen as companies or entities, which you can use to organize your contacts. In Overloop you can create an unlimited number of organizations.

You have 3 ways to add contacts to an organization:

Add contacts individually

  1. Open the needed contact's page, click on the Add Organization button.

  2. Select the needed organization from the list or create a new one.

Note: A contact can only be in one organization.

Add contacts in bulk

  1. Navigate to the Contacts page and select the needed contacts.

  2. Click Manage contacts > Bulk Edit

  3. Scroll to the Organization section, select the "replace the current value with" and choose the existing organization or create a new one.

Add contacts from the organization panel

  1. Navigate to the Organization page and select the needed organization.

  2. Click on Add Contact.

  3. Select the needed contact.


Remove contacts from an organization

Organizations can be seen as companies or entities, which you can use to organize your contacts. In Overloop, you can add and remove contacts from an organization as many times as you want and whenever you want.

You have 2 ways to remove contacts from an organization.

  • Remove contacts individually

  • Remove contacts in bulk

Remove contacts individually

  1. Open the needed contact's panel.

  2. Click on Remove from organization

Remove multiple contacts from an organization

  1. Navigate to the Contacts page.

  2. Select the needed contacts and click Manage contacts.

  3. Click Bulk edit

  4. Scroll to the Organization > Clear current value


Merge organizations

Overloop allows you to merge multiple organizations into one, in order to avoid duplicates. In such a case, the data is combined in one organization, and the extra organizations are deleted.

Note: we never create duplicate contacts, as the contacts are identified by their email addresses. If a contact with this email address already exists, you can't create it for the second time, you can only update the existing one.

How to merge organizations?

  1. On the Organizations page select the needed organizations.

  2. Click Manage organizations > Merge organizations.

  3. Select the primary organization and click Merge.

What happens to the data?

Information fields

When merging organizations, all the data from all the information fields is combined.

In case of conflicts (different data in the same information field), the primary organization's data is in priority.

Contacts

After merging, contacts from all the organizations that you merge will be grouped in one organization.

Notes

Notes of the primary organization remain intact. Notes of the other organizations are added to the primary one.

Tasks

The tasks of the primary organization remain intact. The tasks of the other organizations are re-assigned to the primary one.


Attach a file to an organization

You can also attach a file to an organization.

  1. Navigate to the organization's page.

  2. Click the Attachments button.

  3. Drag and drop a file or click select from your computer.
